Staff AI connection
Notice version: staff-read-write-v1 · 29 September 2026
Veleres administrators can choose to connect their own ChatGPT (OpenAI) or Claude (Anthropic) account to Veleres staff tools. Each administrator must sign in to Veleres and link their own separate Veleres AI identity. The connection follows that administrator's current Veleres permissions.
Information shared
When an administrator uses a staff tool, the AI service receives the tool arguments and answer. Depending on the administrator's permissions, an answer can include customer and staff names, email addresses, organizations, projects, plots, orders, quality checks, support records, tasks, invoices, financial summaries, reports, product information and internal agronomy excerpts. These are confidential company and customer records. Do not connect an AI account that is not approved for this work.
Actions and checks
Staff tools can read permitted records and prepare selected task, support, order and quality changes. A write needs the same administrator to review and approve the exact change in a signed-in Veleres Admin browser session. Veleres checks the administrator's current role, permissions and target record again before applying it. Approval in the AI chat alone cannot make a change. An internal support note does not send a customer reply.
Records and disconnecting
Veleres keeps the identity link until the administrator disconnects it or the Veleres account is removed. Staff tool read records and API/MCP runtime logs follow a 90-day retention rule. Link and unlink events, revoked links, write previews, approvals and execution records follow a 365-day rule. Encrypted company backups follow a 30-day rule; the two newest recovery points remain if backups stop. Business records follow the Veleres account policy. To request access, correction or deletion, contact contact@veleres.com.
Disconnecting in Veleres Settings stops later staff tool calls, including calls with an unexpired token. It does not erase prompts or answers already held by ChatGPT or Claude. Those services may retain copies under their own account settings and policies.
